Your Primary Responsibilities
We’d Need You To…
Manage administrative projects assigned by our president and financial planning team
Answer telephones; screen telephone calls, take messages, and save and log faxes (if we get any…and we still do sometimes!)
Oversee our president’s and financial planning team’s calendars
Screen president’s email for high priority correspondence
Handle compliance documentation
Tracking continuing education and documentation (we gotta stay current!)
Utilize DocuSign and electronic tools to create and use templates for client and company agreements (keeping it legal!)
Keep the office well maintained
Order office supplies
Prepare paperwork for prospective and existing clients
Mail stuff, shred things (documents, lettuce, guitar solos…), and prepare documents for scanning
Log documents we receive electronically
Enter data into our CRM database (we use SalesForce)
Knowledge And Skill Requirements
Do You Have…?
A desire to work on a team with other strong and skilled team members?
An ability to pick up concepts quickly?
Excellent organizational and time management skills?
High attention to detail?
Experience with Microsoft Office and Adobe Reader?
Strong computer and technology skills (this is important, because all of our systems are electronic. No paper!)?
Flexible? Do you adapt well to new technology and ways of doing things?
Good at written and verbal communication (and can you write with a professional tone? We love emojis too, but some of our clients, on the other hand…)?
Independent yet Collaborative? Can you get the job done on your own, but also collaborate and ask questions when needed?
A University Grad (a university degree is preferred, but if you fit everything else to a “t”, let us know!)
